Under the direction of the Associate Registrar, the incumbent provides clerical and research support to the Transfer Center and Evaluations staff, particularly as needed for the maintenance of articulation agreements and the Banner Articulation Module.
TRANSFER CREDIT AND ARTICULATION
1. Assist in maintaining formal articulation agreements, including exam credit approval charts online and on the Registrar’s Blackboard page; update individual course records in the Banner Articulation Module.
2. Maintain and update Banner Articulation Module as directed by the Associate Registrar.
3. Review daily audit report to verify accuracy of newly added courses; refer courses needing further review to the Associate Registrar.
4. Coordinate processing of transfer credit decisions; record all decision in Banner Articulation Module as directed by the Associate Registrar; forward decisions to appropriate Academic Records Analyst to update student record; update articulation agreements and course review documentation as needed.
5. Maintain Transfer Center webpage as directed by the Associate Registrar.
1. Provide research support to the Assistant Registrar of Evaluation staff: gather documentation regarding transfer institution accreditation status, course description or syllabus, CSU/IGETC documentation, exam or certificate description, and/or ACE credit recommendation.
2. Assist as needed in the frontline entry of transfer credits from official transcripts into Banner Articulation Module, focusing in particular on schools and courses not previously articulated in Banner.
3. Support Evaluations Staff as needed to inventory and log incoming admission packets, transcripts, and Application for Graduation into Access database logs; create electronic Registrar’s folders for new or returning students; work with Undergraduate Admissions and Regional Campus Administration to ensure all files have been properly received, inventoried and stored.
4. Utilize Banner as needed to make adjustments to individual student Degree Program Evaluations (DPEs) based on faculty approved major substitutions and changes to major requirements, major or minor contracts, and GE or processed by running and auditing new DPEs; notify advisor and/or student when revised DPEs are available for viewing via Banner or MyLaVerne.
5. Support the Evaluations staff as needed to prepare Registrar audited DPEs based on course decisions and articulation agreements previously entered in the Banner Articulation Module.
ADIVISING AND ADMINISTRATIVE CONTACTS:
1. Provide general assistance to students visiting the transfer center; advise students regarding articulation policies and procedures, transferability of coursework, and general education requirements.
2. Respond to inquiries from students, staff, and advisors to provide detailed information regarding articulation policies, procedures, and resources.
3. Respond to correspondence sent to the general Transfer Center email address; forward inquiries to Assistant Registrar for Evaluations or Associate Registrar.
1. Perform clerical tasks including, but not limited to, word processing, photocopying, filing, faxing and general office duties.
2. Scan course review documentation for archival records.
3. Manage phone and voice mail inquiries.
1. Respond to student and advisor inquiries regarding applicability of final transfer coursework toward degree completion goals.
2. Proofread Commencement lists to verify accurate student name, degree, and honors information.
3. Perform various duties as needed at Graduation Fair and Commencement ceremonies.
1. Special projects as assigned by the Associate Registrar and other tasks as assigned by the Registrar and Assistant Registrar for Evaluations.
The ideal candidate should be able to manage multiple tasks and projects simultaneously, yet be able to prioritize tasks in order to work efficiently and meet deadlines. Knowledge of higher education, articulation and transfer credit is preferred, but more importantly, a willingness to learn, ask questions, apply deductive reasoning, to think critically and to ultimately work with minimal supervision is critical. The ideal candidate enjoys working with students and being part of a team.
The ideal candidate should be fluent in Microsoft programs, in particular Word, Excel and Outlook. Experience with student information systems and/or large databases of information, is also preferred, especially experience with Banner. Experience working in higher education along with a basic working knowledge of institutional best practices for servicing students is also preferred.
