Detailed Job Description

Under the general direction of the Payroll Supervisor, and working closely with the Office Student Employment, the Office of Human Resources, the Payroll Administrator is responsible for assisting in the production and issuance of the Student payrolls, including maintenance of the payroll database. Assumes other duties as required.

Essential Duties and Responsibilities: 

  • Maintain and update Student employee files by entering data from source documents. 
  • Monitor all Students time through WebTime time entry system by validation of data and supervisor authorizations. Ensure compliance with FLSA regulations and balance data entry to hash totals.
  • Process late and adjusted manual timesheets for Student payrolls by validation of data and mathematical accuracy.  Balance data entry to hash totals.
  • Produce and balance Student payrolls by ensuring accuracy of updated employee maintenance and hours.  Make any necessary corrections.
  • Maintain and update payroll related data on excel spreadsheets.
  • Maintain and update appropriate student records for all Non-Resident Alien’s tax status, treaty agreements, and balancing/issuance of their annual 1042 forms.
  • Ensures filing system standards and procedures are maintained for payroll and that the files are kept organized.

Required Skills

  • Strong interpersonal, communication, organizational and customer service skills required to interact with all college employees and students with respect to payroll issues and procedures as well as third party vendors regarding important issues relating to payroll.
  • Ability to maintain confidentiality of sensitive data, including payroll and human resource information.
  • Strong personal computer skills, requiring familiarity with, Microsoft O/S systems, Excel and Word software.   
  • Demonstrated capacity to develop & maintain effective working relationships with individuals & organizations reflecting a broad range of identities, perspectives & experiences.

Required Experience

  • Requires general knowledge of accounting procedures and principles as they relate to payroll.
  • General knowledge of federal, state, and Non- Resident Alien tax regulations.
