Performs a variety of complex administrative tasks involving some discretion and requiring moderate amounts of independent judgment related to the daily operations of the College of Education, Health & Society Dean’s office. Responsibilities include communication, data collection and reporting, committees, and events.
Coordinates calendars for two Assoc Deans, Dir Mindfulness Ctr, Dir Intl Programs. Coordinate calendar, meeting preparation, budget. Ability to work independently with minimal supervision.
Reconcile monthly (5-6) University credit cards.
Assist in the performance of various financial and budgetary tasks including preparing and monitoring budgets, preparing fiscal reports, make appropriate corrections to expenditures, processing payments; may maintain inventory of supplies.
Responsible for coordinating logistics for events scheduled by Assoc Deans.
Prepare professional service agreements, OPERS forms.
Monitor and maintain written, verbal, and technological communications, files, and correspondence.
Serve as informational resource to staff; investigate and resolve problems or difficulties related to area of expertise.
Track and reconcile expenditures.
Prepare monthly financial reports for responsible areas.
Point of contact for external grants, reports in eSpa, grant appointment forms.
Prepare accurate travel reimbursement requests for staff.
Assist Associate Dean with tracking building updates, renovations, classroom enhancement proposals.
Proof marketing materials and updates to EHS Dean’s office website.
Delegate tasks to student employees
Serve on ad-hoc committees
Knowledge, Skills, Abilities, and Worker Characteristics:
Knowledge of unit's operations, policies, and procedures; supervisory skills; knowledge of computer and office applications; research skills.
Generally typical office environment. May require considerable walking, standing, or bending. May have periodic assignments which entail dealing with modestly unpleasant conditions
Requires nine months of coursework or training beyond high school in Business Administration and three years of related experience, or an equivalent combination of education and expertise.
Knowledge of office applications, including database applications.
Demonstrated experience collaborating effectively with colleagues.
Ability to handle multiple tasks and prioritize on-going tasks and projects.
Strong communication skills; excellent interpersonal, organizational, and planning skills, proven customer service skills; ability to work cooperatively with others
