Detailed Job Description

Provide Administrative Support for the ROC-Education and Teacher Education programs for the Centers for Educators unit.

Specific Duties

Manage ROC Education & ROC Teacher Education payroll accurately and including but not limited to the following: prepare Instructor Contracts and pay advices (for Directed studies/independent studies, Challenge Exams, writing workshops, shadowing, independent studies, student teaching supervision, fieldwork supervision for Payroll; prepare check requests for guest speaker pay.

Create term schedules in Banner with completeness and accuracy in a timely manner and run edit reports prior to web registration opening to verify accuracy.

Prepare the term booklist for each term (4 times per year) and send to Assistant Dean-ROC/Director for approval before sending to the bookstore.

Provide clerical support for the Assistant Dean-ROC/Director-Centers for Educators and Associate Director for Teacher Education.

Facilities: maintain a working spreadsheet on the use of all class room locations used by ROC Education and ROC Teacher Education; processing the "opening and closing of P.O.’s; keeping an up to date filing of all invoices, manage, login and process invoice from these facilities, communicating with the facility representative, and assisting with insurance request. Check to make sure that each term the billing is properly processed in the appropriate term.

Provide support to Lead Regional Faculty as needed: process their expense reports as well as expense reports for staff by checking for accuracy.

Maintain quality records for adjunct/full-time instructor’s files for faculty who teach for ROC-Education & ROC-Teacher Ed.; send out instructor packets to prospective instructors maintain data on prospective instructors.

Collect time off report for all staff who work for Centers for Educators and summarize them and submit to EM/ROC person who then submits to HR.

Assist the Assistant Director of Teacher Education, Academic Advisors and Credential Analyst as needed.

Backup for online instructor contracts when the online Administrative Assistant needs assistance.

Other duties as assigned by the Assistant Dean-ROC/Director-Centers for Educators.

Minimum Qualifications

High School Diploma or equivalent.
Three years of successful office experience in instructor contracts, pay advices and processing of invoices. Good computer skills, organizational skills, good customer service and professional telephone skills. The successful candidate will be able to communicate professionally with faculty (both full-time and adjuncts) and with other departments such as payroll, Human Resources and Accounts Payable.

Preferred Qualifications

AA degree
Knowledge of Banner.
Some educational environment experience.
