The file room specialist creates electronic/paper files for all part-time and full-time employees hired by the Institution; reports all new hires to the Utah New Hire Registry; scans and reviews documents and information; handles requests for records and employment information; performs data entry; prepares and sends employment files to Utah State Archives in accordance with the Utah State General Records Retention Schedules; serves as a final check that information is input into HRIS system correctly and all needed documents are present; and performs other clerical duties as assigned.
High School Diploma or GED required and 1 year related experience.
Knowledge in office methods and techniques e.g. filing systems, etc.
Skills in computers and computer applications, including detailed data entry, document imaging, spreadsheets, and word processing.
Ability to perform a variety of clerical duties with minimal supervision.
Ability to communicate effectively and follow oral and written procedures and instructions.
Ability to pay attention to detail and recognize potential issues.
Ability to bend down and stand up repeatedly with or without reasonable accommodation.
Ability to handle sensitive information in a professional and confidential manner.
Ability to explain and/or train employees on computer application and non-computer related processes.
