Detailed Job Description

The Clinic Staff Administrator will report to the Director of Wellness Clinics.

JOB SPECIFICATIONS:

EDUCATION/EXPERTISE: Bachelor’s Degree required with two (2) years experience in related field.

JOB REQUIREMENTS/SKILLS/ETC.:    Knowledge of all areas of managing the business office of a large clinical facility; Knowledge of computer and related office equipment; Excellent written and verbal communication skills; Excellent organizational skills; Valid driver’s license

ESSENTIAL JOB FUNCTIONS:

The position responsibilities include, but are not limited to:

Clinic Administration

  • Ensure the flow of daily operations and strategies for the Dallas and Irving Clinics
  • Develop and enforce policies and procedures;
  • Act as liaison for Rocktape, ChiroNet, Davila
  • Manage external programs, billing and doctor setup requests/deletions
  • Manage NetPractise – table setups, changes, deletions; invoice approvals and contractual issues
  • Maintain all fee schedules, managed care reimbursements and Medicare allowables
  • Maintain patient files – inactive status file transfers; review and approve to patient chart
  • Prepare schedules for outside events (State Fair, Susan G. Komen, Marathons, etc.)
  • Train staff on new, updated workflows
  • Meet and greet incoming Interns
  • Meet grade deadline submission to Business office

Staff Management

  • Coordinate with Human Resources to interview and hire personnel
  • Set clear goals and objectives for all subordinates using the employee performance management system. 
  • Train and evaluate job performance of direct reports and their staff
  • Provide guidance to direct reports concerning personnel issues as well as clinic operations. Follow up with appropriate training, assistance or disciplinary action as needed. 
  • Maintain employee files on staff.
  • Ensure optimal patient relations. 

Contract Maintenance

  • Request and support system calls
  • Maintain Clinic Faculty Doctor’s profiles & credentialing
