Academic Affairs

The Division of Academic Affairs is currently seeking qualified candidates to fill the role of Instructional Utilization and Regulatory Administrator at the University Campus. This is a full-time, twelve (12) month, administrative position with the Office of Academic Affairs.

Directly responsible for the oversight and coordination of all instructional assignments in the scheduling process and workload on a University wide level to maintain compliance with federal regulation, university policies, and best practice to ensure the effective utilization of instructional across the entire continuum. The position is charged with the compliance and utilization of instructional labor post recruitment and hire, but may also assist with recommending instructional coverage to shortage areas, specifically where terminally qualified coverage has been identified and compliance with accreditation is mandated.

Basic Function:

Coordinate, process, audit, monitor, and possibly perform all data entry of all faculty assignment to course sections university-wide in working with the University Campus and Education Centers to ensure workload is not exceeded in compliance of federal regulation, internal policy, and best practices. Monitor faculty load report on a daily basis and work with all locations to adjust schedules accordingly. Realigns schedules to ensure compliance with accreditation requirements for terminally/non-terminally cleared instructors. Provide training to locations as needed to facilitate ability to run clearance reports and process to identify qualified instructors already cleared in the Datatel to assist in building course sections. Assist all locations in establishing a matrix of effective course offerings improving student retention, increasing efficiency, and reducing course costs through better utilization. Other duties as assigned by the Vice President for Academic Affairs and Director of Academic Administration.

Required Education/Experience/Skills:

Demonstrated computer literacy to include Microsoft Excel, Word, and knowledge of internet resources/usage of browsers. Demonstrated proficiency with computer information systems, including but not limited to some type of data entry/processing system. Must be self-motivated with the ability to work in a fast-paced environment, independently or with minimal supervision at times with directives from multiple administrators. Must demonstrate excellence through strong sound interpersonal, written, and verbal communication skills. Must maintain confidentiality and tact at all times. Proficiency with Microsoft Office Suite, specifically Excel and Access 2007 or later. Strong organizational and time management skills.

Minimum Qualifications:

Earned bachelor’s degree from a regionally accredited institution required. Strong sound interpersonal, organizational, and project management skills. Experience with MS Office Professional Suite and internet. Ability to multi-task several projects in a fast paced environment.

Preferred Qualifications:

Experience in an educational office setting and background with faculty, academic, or center operations preferred. Ellucian Colleague (Datatel) experience preferred. Two (2) to three (3) years in a professional office setting with experience performing administrative tasks. Knowledge of Saint Leo University a plus.
