Job Description:

General Statement of Duties:  Reporting directly to the Associate Provost, Chelsea Campus, provides secretarial and administrative assistance to the Associate Provost.  Assists in the daily activities of the Associate Provost's office.  Responds to inquiries by phone, email or in person from faculty, staff, students and the community.  Makes photocopies; sends emails and faxes.  Prepares purchase requisitions and monitors office budget.  Reviews request for payment of travel and other expenses submitted by faculty and staff.  Arranges meetings; sets up appointments and handles other general office duties as assigned.

Commonwealth of Massachusetts Human Resources Division Classification Specification for Administrative Assistant II may be obtained at the Human Resources Office or at:


  • Equivalent of three years of full-time office experience and demonstrated strong keyboarding, word processing and data base skills with a proficiency in Microsoft Office Suite
  • Experience in composing documents such as memoranda, reports correspondence, minutes and emails.
  • Thorough knowledge of office practice and procedures
  • Excellent organizational and interpersonal skills, including a proven ability to interact in a confidential and effective manner with faculty, staff, trustees, students and the public.
  • Proven ability to prioritize multiple projects and work independently at a high level of productivity with minimal supervision
  • Strong proofreading skills
  • Proven ability to work with a diverse faculty, staff and student population

Preferred Qualifications:

  • Bilingual in Spanish/English
  • Experience monitoring expenses against budgets
  • Experience working in Higher Education
  • Experience with Colleague (Ellucian) or other integrated information systems in higher education
