The Placement Coordinator is a professional position charged with developing, implementing, evaluating and managing the experiential learning program for the Nutrition and Exercise Physiology department.
Positions require a Bachelor’s degree and two (2) years of professional work experience in student services or related education/experience. A Master’s degree in a related field may substitute for one (1) year of professional work experience. Any combination of relevant education and professional experience may be substituted for the educational requirement on a year‐for‐year basis.
Experience with internship or experiential education coordination.
Demonstrated experience with experiential learning pedagogy and student success initiatives.
Demonstrated experience managing affiliation agreements for clinical site learning.
One year of experience supervising staff.
Site Development, Management and Outcomes Assessment – 55%
Design evaluations of the experiential sites. Conduct visits to the program’s experiential sites on a regular, consistent and systematic basis to ensure the learning environments meet or exceed quality standards. Monitor and ensure site compliance with College and each program’s accreditation standards.
Maintain contact with established sites to enhance working relationships and to facilitate student placement. Act as a liaison for clinical sites answering questions about department and University policy and procedure. Keep the Chair informed if problems arise.
Recruit and develop new experiential sites in keeping with the requirements and expectations of the Nutrition and Exercise Physiology program, as well as, the requirements and expectations of the accrediting organization.
Develop and maintain clinical site relationships, agreements and contracts. Review contracts and agreements regularly to determine that agreed upon terms are being upheld. Collaborate with clinical sites if issues arise. Work with sites to determine appropriate ways to meet the terms of the agreement or contract.
Create prospective site contacts and resources that can be used to develop new relationships and placement opportunities for students. Liaison to other entities on campus that perform similar functions.
Travel regionally for recruitment, marketing and relationship building of preceptors, sites, and alumni.
Review, analyze and match students with appropriate sites based upon academic criteria and student interests. Create affiliation agreement documents for students and clinical sites.
Collaborate with the Chair, faculty and staff, in an effort to provide continuous quality assurance assessment, including conducting surveys and other forms of feedback to determine if learning outcomes and site expectations are being met.
Compile and analyze data and make recommendations to the Chair of necessary program and/or site changes based on feedback.
Review experiential policies and procedures recommending and implementing necessary changes in collaboration with the appropriate faculty members.
Preceptor Management – 15%
Foster positive preceptor relationships and serve as the primary point of contact for them.
Develop and implement a continuous preceptor education program to enhance preceptor’s professional growth. Provide and arrange for live preceptor training programs, as well as, on-line resources to enhance preceptor development.
Evaluate preceptors and ensure compliance with WSU and program standards. Ensure that preceptors have a clear understanding of the teaching outcomes.
Technology Systems – 10%
Customize, integrate and directly oversee the maintenance and the functionality of relevant database management systems.
Provide direct oversight for scheduling. Utilize data to ensure students are placed in rotations or internships appropriately. Review database systems for errors. Review issues with staff and ensure that training occurs to minimize future data error.
Review, update and/or oversee the input of course and instructor evaluations submitted by students and preceptors. Route evaluation results to the Chair(s) of all clinical programs after the completion of each semester.
Student Services – 10%
Assist in the student admission, orientation and retention efforts of the department. Monitor department application submissions, contact students that are missing documents, and create and maintain filing systems for students.
Participate in prospective student interviews.
Manage the student onboarding process, including maintenance of confidential medical and academic records, background checks and other pertinent data.
Manage student orientation sessions. Develop talking points for faculty and staff, provide introductions, and follow-up with student questions and concerns.
Personnel Management – 5%
Responsible for oversight of day to day operations, including temporary/hourly and/or work-study students.
Conduct training, assign and prioritize work, review and approve leave requests, conduct annual performance evaluations, and recommend corrective actions requiring general knowledge of human resource management practices.
Other – 5%
Attend, participate and, if requested, present at national and regional meetings related to experiential education.
Perform other duties as assigned.
