This full time non-exempt position will:

Provide assistance to the Director, Academic Affairs Business Operations:

  • Working with Academic Programs, Human Resources, the Business Office and the Registrar, monitor faculty contracts and records for accuracy, resolve conflicting information and correct inconsistencies. Coordinate records of faculty workload assignments through systematic audits of institutional databases and with the use of spreadsheets.    
  • Assist the Director with annual budgeting and forecasting for Graduate and Professional Studies program.  Prepare and audit financial reports.   

Provide assistance to the Manager, Academic Affairs:

  • Support the Saint Mary’s College Rank and Tenure Committee by attending meetings and recording proceedings. Compose confidential Committee letters on interim review and promotions. Track revisions and distribute letters in compliance with the Faculty Handbook.
  • Coordinate and administer the Student Rank and Tenure Committee.
  • Create and maintain multiple online R&T sites with recommendation letters and classroom observations.
  • Assist the Coordinator of Academic Affairs with faculty searches, set up visits and interview schedules.
  • Assist the Coordinator of Academic Affairs with course/faculty evaluations as the College transitions from paper to online systems.            

Experience and Qualifications:

Required: BA/BS
Experience: 5 yrs. preferably in educational setting in an administrative office
Skills/Abilities: Computer skills, Excel, Word, database experience preferred, strong written and verbal skills, detail orientation, and a high level of confidential work ethic
