Job Description:


Under the direct supervision of the College President, assists the President in the administrative duties and organization of the Office of the President.


  • Plans and organizes the workflow at the secretarial/clerical level and maintains the proper inventory of supplies and equipment needed to operate the department;
  • Oversees the President's calendar and prepares the necessary material to accompany him/her to meetings;
  • Composes letters, responds to inquiries, compiles data, and prepares reports as directed by the President and the Board of Trustees;
  • Prepares for and attends all Board of Trustee meetings, recording the minutes and ensuring that the posting of such meetings are in compliance with the laws of the Commonwealth;
  • Serves on the President's Staff as recording secretary;
  • Directs or confers with personnel in other departments of the institution in order to coordinate efforts, obtain information, or complete designated assignments;
  • Acts as liaison between the Office of the President and other departments to coordinate activities and/or resolve problems;
  • Attends events at the college, initiating follow-up where appropriate and/or providing feedback to the President if requested;
  • Maintains the budget for the Office of the President;
  • Maintains time and attendance records for President's direct reports;
  • Assists the President in coordinating committees;
  • Assists in the planning and supervision of special projects and events;and
  • Performs other duties as assigned by the President.



  • Associate's degree or three years of related experience and working toward a degree;
  • Proficiency in Microsoft Office Professional (Word, Excel, Access, Outlook, and PowerPoint).


  • Ability to interact with CEO's of business and industry, community agencies, government, and other educational institutions in an informative, intelligent and professional manner;
  • Ability to perform office responsibilities with high standards and in a confidential and highly skilled manner;
  • Proficiency in oral and written expression, ability to understand and follow instructions with a varying degree of complexity, and to exercise judgment and discretion in applying and interpreting departmental and/or institutional procedures;
  • Ability to establish and maintain harmonious relationships with faculty, staff, students, Board members, and the general public;
  • Ability to recognize, analyze and advise the appropriate person of any problems.
