Detailed Job Description

This position is responsible for developing and managing the prospect research program for College Advancement in support of the college’s overall fundraising and constituent outreach efforts.  This includes responsibility for the identification and evaluation of potential donors and alumni & parent leaders, and extensive preparation of written and other documentary records of that research.  The position is a senior one in the Leadership program and requires regular interaction with staff throughout the departments of College Advancement, as well with other staff and faculty of the college.

Essential Job Functions


  • Engage in extensive prospect research with the goal of identifying and qualifying individuals with capacity to make leadership and principal gifts to the college; evaluate potential donors’ financial capacities, ties to the college, relationships with other constituents, corporations, and foundations, and assigning them a fundraising capacity rating that is part of a consistent overall rating framework.
  • Using data segmentation, data mining, and research methods, review leadership giving officers' assignments to assist in maximizing their efforts; assign researchers as partners with LGOs to review their pools on a regular basis, and suggest new assignments as donors are identified based on region, funding interests, and other factors.
  • Prepare detailed prospect and event briefings for the President, Board Chair, Vice President for College Advancement, and other staff members as needed in support of presidential and other high-level visits and travel.
  • Supervise a team of Researchers, hiring, managing, and evaluating Research staff members. Assign and monitor work load & work flow, train staff in techniques of research using electronic, published, and other sources, mentor staff in applying judgment to the evaluation of prospect information, perform regular evaluations of staff performance.
  • In concert with the Associate VP, Assistant VPs, and department Directors, enhance and modify the develop prospect management coding system as needed; periodically train staff and review codes and protocols with front-line fundraisers to evaluate use and relevancy. Work with Director of Advancement Services and ILS liaison to make changes/improvements to the constituent database (Banner) functionality as needed.


  • Identify, research and recommend individuals as trustee prospects to the Vice President for College Advancement and Board Secretary; prepare documents for Nominating Committee distribution.

  • As Advancement liaison to Admission, research and rate potential high capacity families with children applying to Bates and those whose applications are supported by Bates VIPs.

  • Establish and review periodically the department's methodology for rating the financial capacity of prospective donors and the resources for identification and evaluation, including all electronic- and internet-based research sources and databases, paper files, printed directories and other documentation.  

  • Establish and review periodically the department's methodology for documenting prospect information in the form of donor and volunteer research profiles, rating sheets, and other information.

  • Other duties as assigned by Vice President or Associate Vice President.


This position requires a bachelor's degree and a minimum of five years experience in prospect research and management, preferably in a higher education context, along with a comprehensive working knowledge of online reference sources and data resources applicable to prospect research (including the internet, Lexis-Nexis, and electronic screening products).  Also required are supervisory and budget management experience, sensitivity to the requirements for confidentiality of prospect and donor information, excellent written and verbal communication skills, an appreciation for detail and accuracy, and working knowledge of office software applications.  The position requires demonstrated ability to work independently, researching and evaluating current giving and leadership gift-level capabilities of prospective donors. A collaborative spirit and a strong commitment to customer service are also required.
