Reporting to the Continuing Education Registrar (CER), the Student Success Specialist monitors the participation and academic performance of students enrolled in the Bachelor of Professional Studies (BPS) degree program. He/she executes the quarterly satisfactory academic progress (SAP) review and yearly federal process, and determines the best path forward for those students identified as falling below defined thresholds of participation and academic performance. The Student Success Specialist works collaboratively with academic advisors to help students who are underperforming, interacts with students in need of academic recovery plans, and coordinates with the Finance department and campus Financial Aid office in the processing of administrative withdrawals and academic suspensions. Additionally, he/she will assist in the development and execution of student success policies, strategies, and procedures necessary to improve the retention of degree students.

Essential Duties and Responsibilities:

Monitoring of Degree Student Participation:

  • Generate daily reports that monitor the participation of all degree students.
  • Identify students who have not participated within a two-week timeframe and determine, in coordination with academic advisors, if there are any known extenuating circumstances for their lack of participation.
  • Process and notify students identified for administrative withdrawal, including coordinating with the Berklee Online Finance department and campus Financial Aid Office.
  • Maintain regular verbal and written communication with at-risk students.

Satisfactory Academic Progress (SAP) Review and Outreach:

  • Work with the Continuing Education Registrar and Director of Online Learning to ensure instructors have submitted all grades for a semester by the posted deadlines.
  • At the end of Fall, Winter, and Spring semesters, run reports to identify students who are at risk of not meeting SAP requirements. Work with these students, in coordination with their academic advisors, to improve their academic standing.
  • At the end of Summer semester, run the annual SAP process through the college’s ERP system (Colleague), identifying students who have not met the standards. Review each student’s records to determine who should be pre-approved for academic probation and who should be suspended.
  • Work with the Associate Director of Communications to send email notifications to students who have been placed on probation or suspended. Communicate with affected students to answer any questions and assist those interested in appealing their status.
  • Coordinate the SAP appeals process, including scheduling, running, and documenting the Appeals Committee meetings.
  • Work with students moved to academic probation to develop ARPs to improve their academic standing. Ensure all ARPs are signed and returned by the approved deadlines in order to process federal financial aid.
  • Update Colleague SAP statuses for all students and process any dismissals from the degree program.
  • Monitor students with ARPs to ensure they are improving their academic progress, communicating with those who are struggling in order to offer assistance.


  • Identify entering students who received below average academic scores in the admissions process and monitor their progress to ensure they succeed.
  • Devise reporting tools to track student progress as they move through the degree program.
  • In coordination with the Dean and Continuing Education Registrar, develop strategies for retention that lead to improved levels of student success, persistence, and graduation.
  • Report on student success program efficacy and the outcomes of satisfactory academic progress evaluations.

Required Skills

Required Experience

  • Bachelor’s degree required.
  • Three years experience in a higher education setting, preferably in a student success role.
  • Experience working with non-traditional students.
  • Experience with Colleague/Datatel and Salesforce preferred.
  • Knowledge of financial aid policies and regulations preferred.
