This position will provide a wide range of administrative support to Business Students, the College of Business Advising Center and the Dean’s office. This position serves as the first point of contact within the Advising Center and acts as the leader of all activities related to front desk operations. This position will represent the College with the highest degree of integrity and confidentiality.
50% – Manages College of Business Advising Center traffic by screening telephone calls, routing calls, assisting walk-ins, and directing students, staff and faculty inquiries to the appropriate individual or department. Monitors and replies to online advising requests. Schedules advising appointments. Provides assistance to students on registration process both on the phone and in the office. Transfers students to the correct department for holds that are not College of Business advising related. Recommends solutions and/or processes for student problems, errors or complaints.
20% – Processes and maintains all College of Business advising files and documents. Maintains confidentiality and complies with all rules and regulations regarding student records. Ensures advising documents are stocked and available to students and provides guidance on the completion of forms. Receives, logs, copies and forwards all advising forms, degree exceptions, BASE petitions, transfer course acceptance forms, etc. to appropriate person or office.
15% – Utilizes Banner/Degree Works to run CAPP reports/degree audits and accesses student screens to provide advisors with necessary information for advising session. Processes major declaration forms and completes overrides where appropriate. Develops and maintains currency and fluency in various computer applications, including word processing, spreadsheets, Banner and Blackboard. Records student advising information in Banner Reporting Management system or current advising record keeping system.
15% – Performs various day-to-day functions of the office, including filing, designing systems for effective and efficient functioning of the office, and assisting the Associate Dean in managing office activities to ensure proper and timely completion of duties, responsibilities and all on-going and demand-based work requests. Develops material for marketing purposes and maintains the preeminent reputation of the College of Business. Makes deliveries and runs errands when necessary for the advising center and other offices in the College of Business. Provides assistance for other College of Business departments as needed to ensure office coverage for phone and walk in traffic is met.
- Five years general office experience.
- Experience providing customer service.
- Experience providing excellent customer service to students in a high traffic environment.
- Experience managing multiple schedules for multiple individuals.
- Experience in creating communication materials (emails, flyers, etc.)
- Knowledge of and direct experience with electronic record keeping systems.
- Experience with Banner or similar related student information system database.
- Experience working directly with students.
- Excellent communication skills both in person and on the phone.
- Experience or knowledge of the requirements working under rules of confidentiality and FERPA.
- Experience using Microsoft Office Suite ( Word, Excel, Power Point and Outlook).
- Experience or ability to work as a member of a team.
