Perform a large variety of administrative and clerical tasks involving discretion and independent decision making related to the main offices of the Department of Teacher Education and the Department of Educational Leadership.

Duties

For the Department of Teacher Education:

 

  • Coordinate faculty job searches using HireTouch (oversee advertising; maintain records and files; arrange schedules, accommodations and travel) and other personnel hiring processes including processing departmental EPAFs
  • Maintain departmental website updates
  • Support field experiences, study-abroad/-away programs, and other school-community partnerships handled by EDT faculty (management of database, scheduling, and travels; interface with school/community contacts)
  • Coordinate student scholarships and serve as liaison with Advancement and Financial Aid
  • Maintain files and department records; correspondence with faculty, students and public; access student and faculty records in Banner, run MINE reports
  • Cross-train with other EDT and EDL classified staff
  • Assist with general clerical support: staffing office, handling program inquiries, answering phone and email inquiries; provide Chair and Assistant Chair support and maintain calendars

For the Department of Educational Leadership

 

  • Oversee admissions processes (application trouble-shooting, communicating with applicants, creation of files, management of review, and assistantship nominations) for the following graduate programs:  School Leadership M.Ed., Educational Leadership Ph.D., Educational Leadership Ed.D., Student Affairs and Higher Education Ph.D., Student Affairs and Higher Education M.S. 
  • Coordinate faculty job searches using HireTouch (oversee advertising; maintain records and files; arrange schedules, accommodations and travel) and other personnel hiring processes including processing departmental EPAFs
  • Maintain departmental website updates
  • Data management for student learning assessment processes in graduate degree programs, and undergraduate minor, thematic sequence, and Miami Plan classes.
  • Track program enrollments and data-bases for selected graduate programs
  • Coordinate student scholarships and serve as liaison with Advancement and Financial Aid
  • Assist with general clerical support:  Staffing office, handling program inquiries, answering phone and email inquiries.
  • Cross-train with other EDT and EDL classified staff

Knowledge of basic office operations, policies, and procedures; good working knowledge of computer and office applications; ability to perform multiple tasks with interruption and retain accuracy; strong background in a general office environment including: excellent organizational, interpersonal and written communication skills; ability to interact with diverse populations and to respond to inquiries promptly; ability to maintain confidentiality; ability to multi-task, prioritize tasks, and work with minimal supervision; generally typical office environment with frequent interruptions to respond to unexpected and immediate demands. Periodic assignments given which entail dealing with modestly unpleasant physical conditions.

Minimum Qualifications

Requires nine months of coursework or training beyond high school in Business Administration and two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

Experience with Microsoft Office (especially Word, Excel and Access), Google (Mail, Calendar, Forms,  Drive, and Documents), Banner, BuyWay, Kronos, MINE, HireTouch, EPAF, 25Live, NIIHKA/Canvas, online course scheduling system. Previous experience in an academic or professional office setting. Knowledge of the course scheduling system.
