Temporary position. Start date: January 25, 2016. End date: March 11, 2016.

Oversees the daily operation of the OCES front desk area and vehicle fleet. Provides clerical support and assistance for the volunteering, tutoring, advocacy, and Service-Learning programs.


  • greet and assist visitors to the office; handle incoming telephone calls and department entity account e-mails; open and distribute mail
  • maintain the office common areas; open and close the office
  • oversee the daily utilization of OCES fleet and rental vehicles (key packet sign-outs, directions to sites, resolution of conflicts due to student absences and/or partner changes, etc).; enter mileage slip data in Excel tracking spreadsheet; arrange for unscheduled vehicle service
  • ensure compliance with University’s and Department’s driver policies; assist with processing students’ vehicle requests for service coordinated outside of the Online Engagement System
  • assist staff with the coordination of the Adopt A School, America Reads/Counts, and Service-Learning programs via Niihka and the Online Engagement System (OES), including tracking completion of required forms, background checks/fingerprinting, updating enrollment using V-Lookup, and site-specific orientations for required students
  • create content for Digital Signage
  • assist the Capacity Building Coordinator with coordination of volunteer opportunities, days of service, and the Undergraduate Service Coordinator program
  • provide clerical support to office sponsored, student-led initiatives (e.g., Adopt A School and Social Action Center)
  • print staff meeting agenda and send out reminders to staff
  • create and distribute attendance sheets to service sites
  • data entry, preparation of departmental program reports, maintenance of office equipment, and other projects as needed.

1)         Assists users of department's services by providing information regarding policies and procedures; may assist patrons by aiding them in using services or filling out forms.

2)         May assist in the performance of various financial and budgetary tasks including preparing and monitoring budgets, preparing fiscal reports, or processing payments.

3)         May assist with various administrative tasks including ordering supplies, preparing requisitions, scheduling use of equipment, maintaining calendars, or conducting research.

4)         May prepare various written materials including correspondence, information sheets, or news releases.

5)         May maintain and update various files and records; may maintain department's computer databases.

6)         May assist in the performance of various clerical tasks including answering phones, typing, opening and distributing mail, or preparing bulk mailings.

Knowledge of standard office procedures and equipment; knowledge of computers and office applications; some knowledge of administrative procedures which may include budgeting, research, preparing fiscal and other reports; supervisory skills; research skills.

Minimum Qualifications

Requires six months of coursework or training beyond high school in Business Administration and three years of office experience, or an equivalent combination of education and experience.

Preferred Qualifications

Applicants must have the relevant background and proven skills necessary to perform the required duties, including experience using Windows and Microsoft Office. Requires high attention to detail, initiative, and a customer service orientation.  Must be a licensed US Driver.

Knowledge of Microsoft Excel. Familiarity with Miami University systems and processes.
