Job Responsibilities


Evaluates and confirms that transfer and other forms of credit are quickly and accurately recorded in Banner according to College, Ohio Board of Regents (OBOR) and American Association of Collegiate Registrars and Admissions Officers (AACRAO) guidelines

Certifies completion of academic degree programs by reviewing student petitions and evaluating coursework/academic records using College audit systems.

Audits petitions to determine if student is eligible for additional degree(s)

Identifies when approval of a course substitutions or waivers could complete a student’s requirements for a diploma/certificate. Sends recommendation to the Office of Counseling for action

Reviews college transcripts and determines eligibility for course credit

Processes requests for outgoing transcripts, including emergency requests, by using an online ordering service which includes researching and verifying electronic and archived records, troubleshooting and correcting discrepancies. Verifies that degree and grades are posted at the end of each term, then sends transcript as directed by the student

Prepares diplomas and certificates of proficiency using online software.

Responds to inquiries, identifies and corrects discrepancies in the student record, including the correction of multiple records (pidms). All work done in accordance with the Family Educational Rights Privacy Act (FERPA) and Ohio Board of Regents (OBOR)

Utilizes imagining technology to index and verify student information. Cross-references microfiche of archived and permanent records, requesting that the appropriate Campus Enrollment Center conduct a search and scan of missing files, as needed

Processes change of grade forms and posts grades not submitted via on-line grading

Corresponds with students and or interprets and verifies compliance regarding degree and transfer curricula requirements, deadlines and procedures

Anticipates and meets all customer needs accurately, professionally, and with a commitment to customer satisfaction

Performs other related duties within the job grade and job classification as assigned

Required Qualifications



Bachelor’s degree

Two (2) years equivalent, full-time experience with student record keeping in an educational setting


Ability to work independently and exercise good judgment within established procedures and protocols

Excellent verbal and written communication skills with the ability to effectively present information

Outstanding customer service skills and the proven ability to sustain productive customer relationships

Basic word processing (MS Word), spreadsheet (MS Excel), grammar, math and keyboarding, filing (alpha and numeric) skills

Sensitivity to respond appropriately to the needs of a diverse population

Preferred Qualifications


(Or equivalent job-related experience providing the necessary knowledge, skill, and abilities to perform the functions of this position proficiently)


Direct experience with academic record keeping

Experience with Banner navigation

Experience with Course Applicability System (CAS)/Degree Audit Request System (DARS)


• Proficiency with MS Word, Excel, Outlook, Access and PowerPoint

Work Schedule

8:30a-5:00p Mon-Friday — varied hours may be required occasionally during special projects and/or peak periods to include evenings and/or weekends.

Target Hiring Rate/Salary

Minimum of $44,729 Annualized

Special Note

This is a Full-time (1199/SEIU) Bargaining Unit position, Grade 08. Full time (1199/SEIU) bargaining unit employees at Cuyahoga Community College will be considered first for vacant positions.
