Provide support for the faculty and undergraduate students in the Department of Psychology by providing administrative support for the academic program as well as coordinating calendars, reproducing exams and needed materials for courses, addressing physical problems that arise in the building, coordinating and supervising student workers, and providing customer support in a busy academic office environment.
1) Assists users of department's services by providing information regarding policies and procedures; may assist patrons by aiding them in using services or filling out forms.
2) May assist in the performance of various financial and budgetary tasks including preparing and monitoring budgets, preparing fiscal reports, or processing payments.
3) May assist with various administrative tasks including ordering supplies, preparing requisitions, scheduling use of equipment, maintaining calendars, or conducting research.
4) May prepare various written materials including correspondence, information sheets, or news releases.
5) May maintain and update various files and records; may maintain department's computer databases.
6) May assist in the performance of various clerical tasks including answering phones, typing, opening and distributing mail, or preparing bulk mailings.
Front desk position, greeting visitors to the Department of Psychology. Performs a variety of administrative tasks related to the department office including: directing undergraduates to advisor resources, assigning department advisors, assisting with basic data analysis for reporting, maintaining Chief Departmental Advisor’s calendar; maintaining office supply stocks and equipment; submitting requests for building maintenance; coordinating with faculty and bookstores to order textbooks; supporting undergraduate experiment software; coordinating the weekly department and colloquium calendar; booking hotel lodging for guests; assisting with hospitality functions of the department, coordinating activities with other staff members, supervising student employees; and responsibility for general office assistance such as copying and answering phones and other duties as assigned.
Requires nine months of coursework or training beyond high school in Business Administration and three years of related experience, or an equivalent combination of education and expertise. Ability to acquire knowledge of unit's operations, policies, and procedures. Must possess demonstrated computer skills with office applications, communication, supervisory skills, organizational, analytical, and basic research skills. Generally typical office environment although may require considerable walking, standing, or bending. May have periodic assignments which entail dealing with modestly unpleasant conditions.
Knowledge of standard office procedures and equipment; knowledge of computers and office applications; some knowledge of administrative procedures which may include budgeting, research, preparing fiscal and other reports; supervisory skills; research skills.
Advanced computer skills are preferred. Applicants must have the relevant background and proven skills necessary to perform the required duties including excellent oral communication, strong writing, quantitative, and organizational skills; the ability to work collaboratively with others in a in a fast-paced central office, and skill in effectively communicating with students, co-workers, faculty, and other constituencies. Must possess the ability to multitask, prioritize, and complete assignments while handling competing demands.
