Detailed Job Description

This position provides administrative support to the Director and Assistant Director of the Office of Academic Affairs, External Relations and Accreditation Services (AAERAS). The Administrative Assistant is responsible for providing this support across a broad range of high impact and often sensitive areas. The position requires attention to detail, a service orientation and ability to multi task.  

Additional Description of Duties:

Reception/Office Duties:
Maintain the upkeep of the front office. Monitor and Order supplies, Open, sort and distribute incoming correspondence. Prepare correspondence and mailings as requested. Independently manage most aspects of this work with limited direction from the Director or Assistant Director.

Administrative Support:
Assists the Director and Assistant Director with generating contracts for compensation of the full- and part-time faculty; special payments to members of the faculty and other ad hoc projects as assigned.

Data/Information Management:
Prepares and duplicates reports, memos, brochures, schedules, expense reports, correspondence and other documents using word processing, spreadsheet, database and presentation software including, but not limited to: Microsoft Office (Excel, PowerPoint, Publisher, Outlook); Banner; (Drupal). Maintain the office website. Assists the Director and the Assistant Director in maintaining sensitive data such as personnel information.

Communication:
Communicates with various constituencies (including faculty, students and other administrative departments). Communicates with external individuals and organizations.  

Position Qualifications

High School degree or equivalent work experience, plus 1-2 years related experience. Solid computer skills required (Word, Excel, Outlook, Power Point, etc.). Strong organizational skills are required: the Administrative Assistant must effectively multi-task and appropriately prioritize work during multiple periods of heavy workloads. Ability to deal with frequent interruptions and juggle a variety of responsibilities. Excellent verbal, written, and interpersonal communication skills, on the phone, email, and in person.
