Performs a variety of administrative and clerical tasks in support of Department's daily operations.
The Office of Ethics & Student Conflict Resolution has extensive administrative work that requires detailed and tedious oversight. The administrative support staff is critical for records retention, conduct monitoring, judicial hearing set-up, confidential record keeping, and interfacing with the myriad of constituents (students, families, lawyers, and police officers) who attend hearings and contact the office via phone and e-mail on a daily basis. This position will perform the following (not an exhaustive list):
1) Draft confidential letters, reports, memos, and other written documents.
2) Maintain confidential files regarding student conduct and general files for the office in accordance with the Code of Conduct.
3) Answer questions via phone, e-mail, and in person concerning the work of the office, policies and procedures, student records, and current conduct cases.
4) Work with incident reports resulting from residence hall violations, police reports, and private complaints. This includes data entry into the conduct database, creation of student files, sending notice to students, and creating follow-up paperwork.
5) Schedule hearings and other student conduct meetings for administrative hearing officers and student court. Requires the coordination of multiple calendars, correspondence with parties involved in the hearings, as well as attention to deadlines regarding hearings.
6) Maintain calendars for the Director, Associate Director, and Hearing Officer.
7) Maintaining student records in a study abroad database.
8) Co-supervision of student workers; includes assisting in hiring, approval of time, and evaluation.
Knowledge of standard office procedures and equipment; knowledge of computers and office applications; some knowledge of administrative procedures which may include budgeting, research, preparing fiscal and other reports; supervisory skills; research skills. Periodic assignments given which entail dealing with modestly unpleasant physical situations such as near continuous use of computer.
Requires six months of coursework or training beyond high school in Business Administration and three years of office experience, or an equivalent combination of education and experience.
Knowledge of unit's and division's operations, policies and procedures. Strong clerical and organizational skills.
