The Assistant Director, Orientation and Parent and Family Programs must have a passion for working with creative students and will serve as a co creator of a vibrant and innovative environment for student engagement. The ideal team member will establish and sustain collaborative partnerships within the Division of Student Affairs and the Berklee College of Music community, in order to create transformational co curricular experiences. Under the direction of the Director of the Student Activities Center, and in partnership with, the Associate Dean of Residential and Campus Life, the Assistant Director will also serve an integral role developing comprehensive parent and family programs.

The Assistant Director will supervise the SAC front desk operation and student employees. This position will advise the front desk students as they present small to medium scale programs and as they manage the day to day clerical tasks e.g. inventorying and ordering office supplies and maintaining the SAC lounge and office suite as well as the equipment therein.

Job Purpose:

The Assistant Director, Orientation and Parent Programs will develop and implement a new and integrated Entering Student Orientation program for fall, spring, and summer to ensure a meaningful and successful entering student experience. Collaborate with other campus stakeholders to create a comprehensive program that introduces students to the academics, values, culture, resources, and social climate of the college. Develop and update orientation electronic and physical communications. Develop online orientation modules that will be utilized prior to student arrival. The Assistant Director will also develop a new and integrated Parent Orientation Program that engages, educates and encourages parents to be partners with the college and with their student through the post-secondary education experience. Providing leadership to and oversight of the Parent Website, Social Media Sites, and Parent Newsletter. This position will manage contracts, and budgets for the Office of Student Activities.

Essential Duties and Responsibilities:

Orientation:

  • Coordinate and execute Berklee’s week-long orientation held three times/year. Facilitate the logistics of orientation including scheduling, securing spaces, securing presenters, collaborating with campus departments, working with vendors, catering, purchasing, organizing information and resources. Plan and execute orientation events and programs.

  • Administer electronic surveys used to help evaluate orientation programs.

  • Manage orientation budget and track all orientation expenditures.

  • Design communications regarding orientation through creative thinking and graphic design. Maintain and edit templates for semester orientation materials.

  • Create, edit and oversee printing of documents including orientation schedule, flyers, student planners, calendars and posters specific to orientation.

  • Manage orientation website content and print/mail schedule for all orientation materials. Manage orientation email communications and smartphone information and scheduling apps.

  • Coordinate summer Five Week Performance Program check-in.

  • Oversee FiveWeek banner project or summer activities calendar

  • Attend orientation events to ensure success, troubleshoot problems and oversee implementation.

Parent and Family Programs (with the Associate Dean):
  • Respond to parent and family member inquiries and concerns.

  • Plan and execute parent and family programs including Parent and Family Orientation and Family Weekend.

  • Develop and maintain print and online resources for parents and families.

  • Assess parent and family’s experiences and expectations with the goal to expand Parent and Family Program offerings.

Administrative Responsibilities:

  • In the absence of student coverage determine an appropriate schedule to share coverage of the front desk.

  • Assist with renovation and refurbishing of SAC spaces.

  • Complete daily reconciliation and reporting of cash flow in SAC (front desk, clubs, etc.) make deposits, and maintain cash register software and equipment.

  • Compile monthly reports of cash register transactions.

  • Complete check requests and budget transfers as it relates to job duties.

  • Oversee key card access rights for all staff and student employees in the SAC and Student Wellness & Health Promotion Services/LiveWell areas.

  • Integrate new hires by coordinating the set up of business cards, office signage, office keys, and key card access rights for SAC as it relates to job duties.

Front Desk Supervision and Advising Responsibilities:

  • Through the supervision of the front desk students manage the organization, maintenance, and presentation of SAC lounge and office suite, ensuring they are tidy and representative of SAC goals and values. Assist front desk students as they inventory and order office supplies, and as they oversee, order, and maintain SAC equipment such as pool table, phone charger, copier, helium tank, video games, board games etc;

  • Supervise front desk students as they manage front desk ticket sales such as BSO Cards, movie tickets, sports tickets, show tickets, and their related tasks including marketing, inventorying, ordering, and tracking

  • Arrange professional staff coverage of the front desk in the infrequent cases when no front desk student employees are available.

Other Event Responsibilities:

• Support planning and execution of any number of SAC and Student Affairs programs including Berklee’s MLK Celebration, Sexual Assault Awareness Month initiatives, PRIDE, collaborations with City Music, BerkLEAD events, SpringFest, etc.

Other Administrative Responsibilities:

  • Train, supervise, and evaluate a 300 hours a year graduate student intern responsible for a variety of tasks and responsibilities including but not limited to orientation, SAC operations, and other special projects.

  • Assist with web-based research, preparing reports, compiling data for presentations as it relates to job functions. Complete clerical tasks such as copying, filing, faxing, data entry, returning phone calls, work on mass mailings and updating computer documents as it relates to job duties.

  • Collect receipts, complete purchase orders, work with vendors. Reconcile your own monthly credit card statements.

  • Serve on college committees.

  • Other duties as assigned.

Other Information or Comments:
  • Weekend and evening hours as required by programs especially during orientation. Some holidays required.

Required Skills

  • Excellent organization skills and attention to detail for tasks such as, filing, data entry and other clerical tasks.

  • Excellent writing, editing, and proofreading skills.

  • Strong interpersonal skills and ability to work as a team member when giving and receiving feedback. 

  • Demonstrated interest in and commitment to college’s diversity statement and creating an inclusive and welcoming environment for all students.

  • Highly dependable. Ability to assume responsibility for delegated tasks and meet agreed upon deadlines (for both immediate and long term projects). Awareness of punctuality and reliability as a key to office and team success.

  • Computer skills and technical fluency including Word, Colleague, Excel, Filemaker, PowerPoint, Photoshop and HTML based application as well as web-based research.

  • Good customer service skills.

  • Strong sense of design and vision for graphic design projects.

Required Experience

  • Masters Degree Required
  • Experience with event planning and managing multiple tasks and deadlines. Ability to

    manage logistics involved in planning and implementing large and small scale events.

  • Experience supervising or serving as advisor to student leaders in a campus environment.

  • Familiarity with university/college setting and student affairs functions preferred. Ability to

  • form and maintain positive relationships with students.

Capabilities Preferred:
  • Experience working with student musical theater productions.
  • Demonstrated ability to provide music production and equipment expertise.
  • Knowledge and ability to ensure organizations’ operations are consistent with College policy.
