Job Description:

General Statement of Duties:  Reporting directly to the Dean of Academic Support & College Pathway Programs, provides secretarial and administrative assistance to the Dean.  Assists in the daily activities of the Dean's office.  Responds to inquiries by phone, email or in person from faculty, staff, students and community partners.  Makes photocopies; sends emails and faxes.  Prepares purchase requisitions and monitors office budget.  Reviews request for payment of travel and other expenses submitted by faculty and staff.  Arranges meetings; sets up appointments and handles other general office duties as assigned.

Required Qualifications:

  • Three years of full-time or equivalent part-time experience in office management. An Associate's or higher degree with a major in business may be substituted for the required experience; an Associate's or higher degree in a major other than business may be substituted for one year of the required experience.
  • Demonstrated strong keyboarding, word processing and data base skills with a proficiency in Microsoft Office Suite
  • Experience in composing documents such as memoranda, reports correspondence, minutes and emails.
  • Thorough knowledge of the principles and practices of office management.
  • Excellent organizational and interpersonal skills, including a proven ability to interact in a confidential and effective manner with faculty, staff, trustees, students and the public.
  • Strong proofreading skills
  • Proven ability to work with a diverse faculty, staff and student population

Preferred Qualifications:

  • Proven ability to prioritize multiple projects and work independently at a high level of productivity with minimal supervision
  • Experience monitoring expenses against budgets
  • Experience working in Higher Education
  • Experience with Colleague (Ellucian) or other integrated information systems in higher education
