Quinnipiac University, School of Medicine, invites applications for the position of Secretary. Under the supervision of the Course Directors, perform secretarial duties required to support the Clinical Arts & Sciences and Scholarly Reflection and Concentration\Capstone Courses in the School of Medicine.
Maintain phone coverage, greet visitors, take messages, relay information and respond to electronic messaging. Handle high public contact efficiently and professionally. Have knowledge of Quinnipiac procedures, answer questions within scope of knowledge and authority. Prioritize and evaluate the level of urgency of constituents’ needs.
Schedule and maintain electronic calendar for course directors, all proceedings related to Clinical Arts and Sciences and Scholarly Reflection and Concentration Capstone courses within the School of Medicine.
Use Quinnipiac’s Datatel system fully and effectively for processing requisitions and reimbursements. Aid course directors and course faculty with ordering approved course materials.
Arrange meetings, interview schedules, and travel as required, notify participants, and arrange for all materials, food, facilities, AV equipment, budgets, and support functions. Monitor office supply needs and place orders when appropriate.
Use University software and hardware to prepare, disseminate, or duplicate course specific correspondence, spreadsheets, meeting minutes, reports, grants, forms, course materials, and memos. Edit work for accuracy, format, spelling, punctuation and construction. Assure timely completion of all material.
Gather and enter data for the preparation of various reports/documents.
Attend, document, and maintain post minutes for any meetings related to the Clinical Arts and Sciences and Scholarly Reflection and Concentration/Capstone courses. Organize and maintain a filing system for all pertinent data/information related to faculty, staff, and students as well as the activities/functions of these courses within the School of Medicine so that it is readily accessible.
Assist with the organization, preparation and ordering for receptions, open houses, information sessions and other University events.
Maintain the confidentiality of faculty, staff and students with respect to personal and academic and related professional issues that are presented to the Dean’s office.
Other secretarial duties as assigned by the directors of Clinical Arts and Sciences and Scholarly Reflection and Concentration/Capstone courses.
Proficiency with Word, Excel, PowerPoint.
3 to 5 years experience working in high traffic office setting.
Attention to detail and accuracy is a must.
Experience with Datatel is preferred.
Please note this is a Grade 5 position in the Clerical & Technical Unit, hourly rate is $19.68.
