Administrative Assistant for busy Front Desk of University Regional Campus. Successful applicant must be flexible, calm under pressure, energetic, able to take initiative and work independently, and dedicated to outstanding customer service. Responsibilities include greeting the public and students, answering telephones, and supporting the Regional Campus, its Faculty, Students, Director, and staff. Position is responsible for a range of clerical and administrative duties in a busy setting with many established deadlines. Successful applicant must be an engaged learner, supportive of life-long learning, ready to make a positive contribution to the regional campus setting. Successful applicant will support a seasoned administrative team, dedicated faculty, and engaged group of adult learners, working professionals in accelerated-pace degree programs.
Administrative Assistant will work closely with Campus Director on many projects, including preparation of detailed spreadsheets, contracts, pay advices, revenue deposits, course schedules, textbook lists and much more. The Administrative Assistant will support all staff in current student file preparation and tracking, document filing, document preparation, and use of various university forms. S/he will have primary responsibility for prospective and new student data entry in student information system. S/he will be resonsible for office and forms supply ordering and inventory, postage and mailing preparation, textbook and desk-copy requests and tracking, student document scanning, and Dantes test scheduling. The Administrative Assistant will monitor and maintain equipment and supplies (white boards, tables, chairs, signage, other) for campus and office suite, administrative areas, classrooms and instructional areas. The successful applicant will be part of a campus team dedicated to providing outstanding customer support to one another, students, faculty, alumni, general public, and representatives of corporate, community and business partners.
High School Graduate. At least three years of successful office experience demonstrating good people skills, good computer skills, organizational skills, good customer serivce and telephone skills. Successful applicant should demonstrate ability to prioritize, initiate and complete tasks, and a sense a humor.
Demonstrated competency in Windows, MS Office Package (especially Excel, Web and Email required. Familiarity and skills in using all varieties of office machines, ie phone, fax, computers, printers, copy machines, postage meter, LCD projectors. Experience with educational databases is preferred, particularly Banner, Banner Scanning, and/or comparable student information systems for higher education. Successful applicant must have strong communication skills – verbal/oral and written business communication. Willingness and ability to work quickly and efficiently to achieve results and meet planned and unplanned deadlines. Able and willing to make occasional trips to La Verne Campus and other regional campuses as needed. Must have a valid CA Drivers License.
Some college experience preferred.
