Under the direct supervision of the Registrar, the Department Coordinator is responsible for assisting the Registrar in all projects and research; keeps an on-going calendar of all OREG management and staff responsibilities and reports them to the Registrar’s Leadership Team and at departmental meetings; coordinates all administrative business with the Human Resources liaison for the OREG regarding hires, terminations, performance evaluations and other HR business; assists the Registrar with budget planning and management; performs other departmental responsibilities including: managing the email@example.com email account, keeps inventory for the department and facilitates most purchases, reports to the City of Boston on local zip code groupings of enrolled Berklee students.
Assistant to the Registrar: assists the Registrar in all projects, research, reports. Helps the Registrar with meeting arrangements, meeting minutes and Registrar calendar planning.
Department organizational planner: keeps schedule of entire department's projects, events, general responsibilities - reports at each meeting, helps plan with Registrar’s Leadership Team "RLT".
Budget organizer: helps track OREG budget throughout year and reports to RLT. Helps track future budget needs throughout year, assists Registrar in forming OREG budget. Coordinate all purchase card accounting for all OREG purchase card holders.
Department liaison with Human Resources: works with HR Enrollment Division liaison to coordinate all business between the two departments. Coordinates all hires and departures with HR.
Administrative support for the Registrar, particularly in the form of scheduling meetings and minute taking.
Produce annual drafts of the Master Calendar working with Student Service directors and Academic Affairs. Submit drafts to the Registrar for approval.
Provide office supplies purchasing service to all OREG members.
Conduct a local address update project for all enrolled students each term, and report zip code information to the City of Boston each term.
Produce and distribute Probation Letters, Master Lists and Rosters each semester.
Track departmental supplies inventory.
Ad hoc Team Projects Assistance as assigned by the Registrar and other duties as assigned.
Strong computer skills including but not limited to: Ellucian Colleague and/or similar SIS systems; SIS querying skills; Apple System X operating systems, Microsoft office software; spreadsheet software, Filemaker, and word processing software; ability to adapt computer skills to new computer systems.
Strong analytical and problem solving skills.
Strong communication and interpersonal skills in order to work effectively with all levels within the College.
Strong organizational skills.
Demonstrated capacity to develop & maintain effective working relationships with individuals & organizations reflecting a broad range of identities, perspectives & experiences.
Bachelor’s Degree required.
Standard budgetary experience - able to manage budget operations.
Confidentiality - Able to work with extremely private information in the most confidential manner. Thoroughly versed in FERPA (1974).
