The Financial Systems and Project Manager for the Controller’s office directly manages an active portfolio of information and/or business transformation projects, both within financial operations and for interdepartmental projects where financial operations is a stakeholder, including project strategy, project schedule, scope and change management, issue management, communications plans, and stakeholder engagement. Facilitate decision process, adjudicate conflicts and resolve issues, escalating critical problems to project sponsors, Financial Administration leadership, etc., as necessary, ensuring major decisions are in harmony with Berklee's goals and direction. The manager works to propose, charter, manage and review projects according to financial operations priorities.

The Financial Systems and Project Manager (the manager) acts as a liaison between the Finance, Controller, Bursar, Payroll, Budget, and Auxiliary Services Offices (the financial operations) of the college as the clients, and the Office of Technology Resources to assess and develop requirements for complex end-user, business and system needs and procedures. The manager works in coordination with financial operations staff to identify business issues and data challenges and ensures they are tracked, reported on, and resolved in a timely manner. The manager also plans and conducts studies of potential data processing applications and “next generation” reporting tools and prepares charters to reflect system objectives and the resources required to develop systems that meet Berklee needs. A substantial portion of this support is provided to the Bursar to ensure accurate and efficient student account billing processes.

The Financial Systems and Project Manager is responsible for directing several processes and roles to ensure successful execution of business workflows, including: oversight of report owners and reporting best practices for the department; major software bundle billing process; security audits relating to financial data access; billing database administration for the Valencia campus; updates and maintenance for the department website; coordinating testing of periodic software updates released by the vendor; and facilitating business process documentation. The manager maintains an ongoing focus on developing staff capability to be self-sustaining, and works continually to identify, develop and transfer new business workflow capabilities.

The Financial Systems and Project Manager performs business systems analysis and provides leadership by participating in the ongoing refinement of internal best practices, and developing close partnerships internally and externally to ensure the delivery of high quality services that meet financial operations needs.

The Financial Systems and Project Manager also plays a role in performing quality assurance, system testing, and user acceptance activities, including developing test plans and training for new procedures.

As a member of the financial operations team, you add project management and business systems analysis expertise, industry knowledge, and informed opinion to strategic financial operations discussions. This position represents the financial operations team on several college-wide committees.

Essential Duties and Responsibilities:

  1. Project Management of assigned projects; including project leadership, resource planning, detailed project plans and scheduling, client communication, asset coordination, internal team management, deliverables review and presentation, launch coordination and ongoing client relationship management.
  2. Review technology utilization, make recommendations, provide training, and recommend procedures to maximize efficient use of applications.
  3. Formulate strategies to address business process and/or systems issues and improve internal processes.
  4. Coordinate and prioritize business practice and systems analysis tasks with the activities and responsibilities of other internal or external projects, teams, or departments.
  5. Mentors others in project management and offers various problem-solving tools to guide people, processes and outcomes.
  6. Work in close collaboration with the Office of Technology Resources and financial operations staff in the troubleshooting and upgrading of existing software applications and systems as needed.
  7. Work side-by-side with project and departmental team members in a hands-on capacity to ensure that deliverables meet expectations.
  8. Recommend and manage implementation of web-based processes, including fuller utilization of the college’s internal web pages for communications, forms management, and enhanced utilization of on-line transaction and work-flow capability.
  9. Maintain a high level of communication with internal and external teams, providing clear, tactful, and complete directives, realistic deliverable schedules, and prompt feedback to comments and inquiries.
  10. Manage the specification, acquisition, and integration of new technology (hardware and software), arranging for upgrades and replacements where productivity enhancements may be achieved.
  11. Collaborate with the Training & Support Department in the administration of the Tickets database regarding requests made by financial operations staff.
  12. Provide direct support for critical departmental processes, including Payroll, Accounting, and Bursar’s modules in Colleague; monitoring system performance, prioritizing enhancement requests and provide troubleshooting/problem resolution as required.
  13. Translate business policies into software routines useable by the Colleague system, also known as “rule writing.”
  14. Keeps the controller well informed on the above activities

Possible Additional Duties and Responsibilities

  1. Assist in the planning of departmental operating and capital budgets.
  2. Participate in conference presentations to share work done at Berklee with internal/external colleagues.
  3. Other activities as needed.

Required Skills

  • Demonstrated business process design and problem solving skills.

  • Proven ability to measure productivity improvements for continuous improvement initiatives.
  • Strong interpersonal skills and ability to communicate clearly and effectively.
  • Ability to operate independently and set priorities amongst multiple tasks, assignments, and projects.
  • Equally comfortable with detailed analysis and research as with “big picture” considerations and priorities.

Required Experience

  • 8+ years experience of finance business process experience.
  • Bachelors degree in Computer Science, Finance, Accounting, or similar field.
  • Strong functional knowledge of finance business processes and requirements including major areas of accounting (GL/AP/AR), fixed assets, consolidation, period close processes and financial reporting, Budgeting & Forecasting.
  • Background in higher education computer systems, software applications, and business process evaluation a plus
  • Experience with Macintosh OS-X operating environment and Ellucian Colleague preferred.      
  • Familiarity with large database (enterprise resources planning) systems required.
  • Experience with Informer reporting tool, web publishing and project management software strongly recommended.
  • Project Management Professional certification, a plus.
