Detailed Job Description

The Sr. Academic Assistant will work closely with the Director of Graduate Admissions to assist in every aspect of her responsibilities. Maintain a good working relationship with the various departments within Enrollment Management and the Graduate School and coordinate their interaction with the Director. Assume responsibility and accountability for various projects as assigned.  

Additional Description of Duties:

Management of events:

Coordinate all plans for the monthly Information Sessions, Yield Event, Fly In, and other events scheduled by the Graduate Admissions office. Planning includes coordinating room sites, food orders, design of invitations, maintenance of the RSVP list, compilation of packets of information, oversight of events and troubleshooting if problems arise.
Support the Director by scheduling appointments and meetings, managing daily and departmental calendars, updating administrative reports and providing research support as needed.

Website Maintenance:
Maintain the McCallum Graduate Admissions website. Monitor the university website for accuracy of information pertaining to graduate school material. Provide support to Admissions marketing in updating vendor website information as needed.

Coordinate first semester graduate student housing. Work collaboratively with the Residential Life office in managing graduate student housing requests and deposits.

Budget: Managing the budget for Graduate Admissions. This requires the ability to analyze account distributions and map them to expenditures. Monitor trends and inform Director to variances and irregularities and make recommendations for improvements as necessary. Manage vendor payments and credits. Assist Director with all expense reporting.  

Position Qualifications

Associate's Degree plus 3-5 years experience in an administrative position in higher education or the corporate world. Bachelors Degree preferred.

Requires excellent interpersonal skills, customer service experience and a self directed, highly organized, detail oriented individual.
