The President’s Office at the University of Indianapolis invites applications for the full-time, 12-month, non-exempt position of Executive Administrative Assistant. Reporting directly to the president, the successful applicant will manage the day-to-day work activities for the office and provide administrative support to the president.

Responsibilities include, but are not limited to, acting as the primary point of contact for both internal/external constituencies; providing assistance in the interpretation and application of University policies and procedures to ensure that office operations are in compliance; representing the president as appropriate in communicating with internal/external constituents; scheduling all meetings and appointments as necessary, including off-site and large group meetings; organizing meeting dates and meeting structure, and preparing and distributing agendas; attending various Board of Trustees meetings/functions, and recording and preparing Board minutes and reports; coordinating travel arrangements for the president and visitors as appropriate and processing expense reports; supervising student employees, including performance management, assigning and reviewing tasks, training and participating in hiring; assisting in mailing and distributing documents; providing substantial telephone support including call screening; sorting, filing, distributing, and following up on a variety of mailings and facsimile transmissions; discreetly handling confidential information.

Qualifications: Bachelor’s degree preferred and five years’ related work experience, with executive-level responsibilities in a fast-paced environment. Demonstrated ability to multitask and set priorities, maintain confidentiality, and function as a self-starter. Requires excellent interpersonal, communication, organizational and analytical skills; ability to maintain flexible work schedule to accommodate specific needs and circumstances of the President’s Office; and strong computer skills and working knowledge of all aspects of the MS Office software suite (Word, Excel, PowerPoint, Publisher). Must be able to work independently as well as part of a team.
