Applicants are currently being accepted for an Administrative Specialist/Supervisor at WITC Ashland Campus. This position provides administrative support to the Vice President, Student Affairs/Campus Administrator and serves as the campus office manager. The position reports to the Vice President, Student Affairs/Campus Administrator and supervises Office and Technical Support.

Job Description

Learner Success

  • Hire, orient, coach and assess Office/Technical Support positions and their ongoing development.
  • Coordinate training and/or train staff on software, equipment, business processes, etc.
    Respond to inquiries and requests for information requiring knowledge of College policies and procedures.
  • Coordinate and supervise the work study program at Ashland.

Operational Effectiveness

  • Provide overall administrative support to the Vice President, Student Affairs/Campus Administrator. Ensure confidentiality and control access to sensitive information.
  • Oversee office operations. Implement changes or enhancements to procedures to improve productivity, efficiency and service.
  • Research, summarize and analyze information. Calculate statistics, compile and generate reports.
  • Plan, organize, schedule and arrangement meetings, activities, and events.
  • Prepare or direct preparation of minutes, notices, manuals, agendas, and correspondence.
  • Coordinate and participate in annual planning process for Student Affairs.
  • Monitor condition of office equipment. Arrange for repairs and upgrades as necessary within budget.
  • Make and/or authorize purchases for office supplies/equipment/ furniture as necessary within budget.
  • Maintain and reconcile administrative budgets, monitor expenditures, perform analysis on accounts, and resolve account discrepancies.
  • Assist with payroll/electronic timesheet entry and serve as back-up to other managers for approval when necessary.

Partnerships

  • Actively participate in campus, regional, Collegewide and state teams and committees.
  • Coordinate staff selection and hiring process for Ashland Campus and ensure College hiring procedures are followed.
  • Serve as liaison with other departments, campuses, and external public.

Qualifications:

1. Associate degree in Administrative Assistant, Supervision or related field.
2. Two years previous related work experience.
3. Advanced knowledge of and proficiency in the use of Microsoft Office computer applications and software such as email, word processing, spreadsheets, etc.
4. Knowledge of modern office practices and procedures and skill in their application.
5. Supervisory experience preferred.

Salary Hiring Range

Management Grade 5
$41,762 annual
