Job ID:  1795 - SATSS - Temporary

Performs a variety of moderately complex clerical and administrative tasks requiring some independent judgment related to ensuring the successful completion of the daily operations of the Department of Family Studies and Social Work.

Duties

  • Assist with general clerical support: answering phones and email; typing; copying; and handling program inquiries.
  • Provide support for FS (20%), SW (30%), and MASW (35%) Program Directors.
  • Support the Field Coordinator (15%) and field placements for the MASW, BSW, & Family Studies degrees.
  • Maintain files and department records.
  • Coordinate meetings.
  • Record meeting minutes.
  • Other duties as assigned by supervisor.
  • Assists users of department's services by providing information regarding policies and procedures; may assist patrons by aiding them in using services or filling out forms.
  • May assist in the performance of various financial and budgetary tasks including preparing and monitoring budgets, preparing fiscal reports, or processing payments.
  • May assist with various administrative tasks including ordering supplies, preparing requisitions, scheduling use of equipment, maintaining calendars, or conducting research.
  • May prepare various written materials including correspondence, information sheets, or news releases.
  • May maintain and update various files and records; may maintain department's computer databases.
  • May assist in the performance of various clerical tasks including answering phones, typing, opening and distributing mail, or preparing bulk mailings.

Minimum Qualifications

Requires six months of coursework or training beyond high school in Business Administration and three years of office experience, or an equivalent combination of education and experience.

Preferred Qualifications

Experience with Microsoft Office (especially Word and Excel), Google (Mail, Calendar, and Documents). Previous experience in a professional office setting.

Knowledge of basic office operations, policies, and procedures; good working knowledge of computer and office applications; ability to perform multiple tasks with interruption and retain accuracy; strong background in general office environment including: excellent organizational, interpersonal and written communication skills, ability to interact with diverse populations and to respond to inquiries promptly; ability to maintain confidentiality; ability to multi-task, prioritize tasks, and work with minimal supervision; generally typical office environment with frequent interruptions to respond to unexpended and immediate demands.
