 Reports to the Department Chair, Graduate Program Director and Coordinator. The Administrative Assistant works independently on assignments that vary in levels of complexity. Serves as a primary point of contact to students and the SMC community. Committed to excellent customer service.  This position is 11 Months/36 hours wkly/.88% FTE

  1. Independently ensures that office processes operate efficiently and effectively, including reviewing budget, ordering supplies, calendaring and mail distribution. Assists with budget tracking, initiating purchases of supplies and equipment, processing of check requests and expense reports. Coordinates requests for printing projects. Maintenance of copy machine. Responsible for processing faculty stipends for Independent Studies with Graduate students and for implementing worksheets for contract adjustments for the Dean's office for Undergraduate and Graduate programs.
  2. Responsible for maintaining all graduate student files and monitoring their progress from the onset of the application, acceptance into the program through graduation. Contact person for interested applicants. Answer inquiries and send out application packets for students who inqure through Tracking students course progress and GPA, students must maintain a 3.0 or better. Monitor process of notifying students relative to academic compliance and generate the necessary correspondence to students. Ability to access student evaluations through Datatel.. Track Five-Year window for Graduate Program Director and faculty members and inform Program Director of students with incomplete course study and initiate correspondence to the students.
  3. For the Graduate Program, primary contact person, liaison with the Registrar's Office, Business Office and the Financial Aid Office. Responsible for intereacting with the graduate students and solving any problems that may arise with their academic schedules. Department contact for the Hobson program. Ability to be able to utilize the Hobson online application program.
  4. Scheduling conference rooms, classrooms and coordinating faculty meetings. Organizing the annual graduate BBQ, making arrangements with caterer, compiling guest lists, generating invitations, scheduling location and set-up. Responsible for planning and organizing a Wine and Cheese Orientation twice a year for incoming graduate students.
  5. Working with Graduate Faculty to organize the annual Colloquium, which includes letters, implementing contracts, set-up, hotel reservations, check requests, refreshments.

Experience and Qualifications:

REQUIRED: High School Diploma 
Minimum of 5 years of administration and office experience in higher education.
Computer skills, written and verbal skills, laws, and procedures.
