The Writing at Bates (WAB) and Academic Resource Commons (ARC) programs are seeking an Administrative Coordinator to serve a central role in the administration of both programs. Working closely with the Director and Writing Specialists, and reporting to the Director of Writing at Bates and the Academic Resource Commons, the individual selected will:
coordinate human resources for WAB and ARC, especially the hiring and on-going employment of both professional and student staff:
manage hiring & separation paperwork
maintain communication with Bates HR and Student Employment
set hiring needs for student employees, in line with the budget allocation for student employment
manage timesheets for all student employees
provide stewardship for the budget of WAB and ARC:
manage program budgets in Banner
liaise with Assistant Dean of Faculty for Budget and Administration
complete all program purchasing
set and maintain tutoring schedule for tutors working within the Writing & Speaking Center and Academic Resource Commons
manage WAB’s and ARC’s participation in BatesReach:
maintain specialist and tutor schedules in program
coordinate outreach to students based on flags raised in system, and correspondence with faculty and advisors who have referred students for services
supervise the group of student employees who provide student intake in the Writing & Speaking Center at Ladd Library
act as assistant to the Director, especially with respect to scheduling and filing
staff the front desk of the Writing at Bates program, providing intake for students and faculty
maintain administrative calendar for WAB
advertise WAB and ARC programming
manage the Writing at Bates email account
develop and maintain informational databases for WAB and ARC
coordinate event planning for the WAB and ARC programs
coordinate communication among the stakeholders of the ARC
coordinate with relevant Academic Administrative Assistants
provide agendas and notes for meetings of the WAB and ARC
coordinate development of printed marketing materials, in communication with College Communications Office.
provide administrative support for WAB and ARC
experience engaging with administrative support structures at Bates College (or, if relevant, other institutions of higher education)
experience administering program budgets
fluency in the use of Microsoft Excel
experience with Banner, Google cloud tools, and other software systems commonly used at Bates
