Detailed Job Description

Washington State University (WSU) is seeking to hire a strongly self-motivated, resourceful Business Operations Coordinator to join the administrative team in the Institute for Shock Physics (ISP). The Institute is an externally funded research organization that conducts a broad range of fundamental and applied research projects in the physical sciences and engineering for government agencies and private corporations, including the development of commercial applications. The Business Operations Coordinator provides direct support of day-to-day business operations for the ISP. This position requires a high level of professionalism, strong organizational skills, good judgment and discretion, and the ability to meet deadlines.

This position is a full-time, 12-month, Administrative/Professional position based in Pullman, WA. The salary will be commensurate with the responsibilities, as well as the candidate’s experience. Representative responsibilities include, but are not limited to:

  • Serve as a primary administrative contact for internal and external constituencies, often on complex and confidential issues; provide information and assistance in resolving problems and creating solutions for day-to-day business issues related to ISP operations. The scope of interactions include close coordination with the Institute for Shock Physics operations in Pullman, WA; the Applied Sciences Laboratory in Spokane, WA; and the Dynamic Compression Sector located at the Advanced Photon Source, Argonne National Laboratory in Argonne, IL.
  • Oversee, coordinate, and/or manage business functions related to personnel administration, grant budgets, inventory, purchasing, and travel.
  • Provide administrative coordination in the procurement of materials, services, supplies, and equipment. Perform duties in support of ISP purchasing activities.
  • Implement and maintain proper personnel practices, policies, and procedures. Coordinate appropriate procedures and actions for changes in departmental appointments and expense assignments. Manage work authorization policies and procedures for ISP personnel in coordination with the WSU Global Services office.
  • Provide administrative support in the execution of stated goals and objectives for the ISP. Perform research and analysis on specific issues, as required, and independently prepare non-routine letters and/or reports, which may be highly sensitive and confidential in nature.
  • Oversee and coordinate administrative activities for ISP personnel, such as answering and responding to inquiries, maintaining calendars and schedules, and coordinating travel.

Required Qualifications

A Bachelor’s degree in a field relevant to area of specialization and three (3) years of experience directly related to the specialty area. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

Preferred Qualifications

- Demonstrated knowledge of complex business operations, policies, and procedures similar to a university setting.

- Ability to understand, manipulate and extract information from databases for creation and analysis of custom financial and grant management reports.

- Experience coordinating and managing complex record keeping systems for review by independent auditors.

-Experience in working in a technical and/or research environment.
