Position Title: Administrator

Location: Bronx, New York

The Administrator in the Department of Pediatrics provides assistance to the East Campus departmental administrator and faculty within the department who do not have independent administrative support. Frequent contacts with principal investigators, Departmental Administrator for Research, collaborators, internal departments -Grant Accounting, Finance, Office of Biotechnology, Animal Institute, CCI, Legal Affairs, Dean’s Office, departmental staff, NIH Grant Management Specialists, and staff from other Funding Agencies. Budgetary responsibility in excess of $10 million annually.

Responsibilities:

• Prepare and assist PI’s with grant submission
• Perform all aspects of personnel matters
• Prepare budgets, budget justifications, resources, biosketches, and any other documentation needed for submission
(e.g. consortium agreements, EH&S forms, etc.)
• Process Just in Time requests (including updating Other Support)
• Maintain biosketches
• Process subcontract and other contractual documents
• Oversee and authorize purchases, monitor expenses and ledgers and transfer expenses
• Process research agreements
• Generate reports for PI including the preparation of grant progress reports
• Work with Grant Accounting on grant closes
• Process No-Cost Extensions
• Process staff personnel changes (hire, termination, change of effort)
• Assist with the preparation of visa paperwork
• Indirect oversight of departmental staff
• Provide information to the Departmental Administrator for global departmental reports

Experience and Educational Background:

• Bachelor's Degree and 2-3 years of related experience is required
• NIH grant experience is essential

• Must be proficient in Microsoft Word, Excel, and PowerPoint
